Insurance Inspection Deadline Tracker and Follow-up Kit

Know what is due, and who needs to respond.

Track the carrier’s deadlines and enable automatic client reminders for missing evidence. Questions, confirmed extensions and submitted files stay connected to the case, so your team knows when to step in.

No credit card required. No automatic charge.

Why this matters

A pending reply should not disappear from the day’s work.

One case may be waiting for a client’s invoice while another has already been delivered to the carrier. Both need follow-up, but for different reasons. Track the owner of the next action and preserve what has actually been confirmed.

Free insurance inspection deadline follow-up kit

Record who owes the next action, what evidence is missing and which dates have actually been confirmed. Use the tracker and extension-request message with your agency's approved tools.

Dates use YYYY-MM-DD. The blank tracker has column headings, an instruction row to remove, and an empty row for your own case. The separate completed example is fictional. These files are manually maintained: they do not import into Coverstride, send messages or schedule reminders.

How to use the kit

  1. Copy the dates from the notice.

Record the original carrier deadline and an agency contact responsible for the next action. Set a separate client target if your agency uses one.

  2. Track the missing evidence.

Use one row per requirement. Record what is missing, who needs to act and when your team will follow up.

  3. Keep requests separate from confirmations.

Record a requested extension without replacing the carrier deadline. Enter a replacement deadline only after the carrier confirms it; retain the confirmation source and date.

  4. Record what was sent and what comes next.

Log the response packet, delivery channel and carrier reply. Sending evidence or requesting more time does not itself confirm acceptance or an extension.

Copy and edit this text; the text download contains the same message and log. Replace every placeholder, check the recipient and follow your agency's approved process. The carrier's notice and confirmed response control the deadline. A request for more time does not itself change it.

The workflow

A practical way to move it forward.

The agency stays in control of the instructions, review and carrier response.

  1. 01

    Record the stated deadline

Enter the due dates from the carrier’s notice and connect them to the requested corrections. Keep case and requirement context together when reviewing the queue.

  2. 02

    Handle incoming updates

Read client questions and requests for more time in the case. A request remains a request until the agency records the relevant confirmation.

  3. 03

    Follow through after delivery

Recording a packet as sent moves the work into awaiting a carrier response. Record acceptance, a request for more evidence or the next follow-up rather than treating delivery as completion.

Inside Coverstride

The details that keep the work connected.

Use these tools in your agency workspace. The examples on this page use fictional cases.

The queue explains why a case needs attention

The Today view and case statuses help staff distinguish missing client evidence, submitted evidence needing review and a pending carrier response.

Reminders follow the outstanding work

Enable reminders after checking the client email. They run during daytime hours in your agency time zone, wait while submitted evidence is under review and use confirmed extension dates. Pause them at any time; each batch pauses after five reminders for your team to review.

Extensions have their own history

The client’s explanation and an agency-recorded confirmation are distinct. Asking for more time does not automatically move the insurer’s deadline.

Keep human responsibility clear

Use the case record to support the team’s follow-up. Coverstride does not contact the carrier for you, guarantee that a deadline will be met or make a coverage decision.

Questions & answers

Questions about deadline tracking.

Understand where Coverstride fits before you change how your team works.

Does a client’s extension request change the deadline?

No. It records the request for the agency to handle. The actual carrier confirmation needs to be obtained and recorded separately.

Is the case finished after the packet is recorded as sent?

No. Delivery is followed by awaiting and recording the carrier’s response. The agency decides when the documented outcome supports closing the case.

How often are automatic client reminders sent?

Once enabled, reminders follow up every three days while evidence is missing, with a reminder the day before the earliest outstanding deadline. After a deadline passes, overdue follow-up runs every seven days. Sending is limited to 9 a.m.–5 p.m. in your agency time zone, including weekends. Recent contact, pending review, confirmed extensions and pauses can change when the next reminder is sent.

Does publishing a case turn reminders on automatically?

No. Your agency checks the client email and enables reminders for that case. You can see the next scheduled reminder and delivery history, and pause at any time. Closing the case or revoking its client links stops reminders; reopening does not silently restart them.
